1. Purpose and Scope

This policy applies to Atura’s print, promotional merchandise, clothing and workwear, signage and graphics, fulfilment, online ordering portal and related services. It covers the work Atura performs directly and the activities it commissions from printers, manufacturers, decorators, installers, fulfilment providers, couriers, technology providers and other approved suppliers.

2. Quality Principles

  • Customer requirements. We seek to understand the intended use, specification, budget, timing, delivery, approval, safety and compliance requirements before accepting work.
  • Clear information. Product descriptions, quotations, proofs, lead times, limitations and claims must be accurate, proportionate and not misleading.
  • Controlled delivery. Orders, artwork, data, approvals, versions and changes must be recorded and communicated to the people and suppliers who need them.
  • Competent people. Employees and contractors must have the information, instruction, training and authority needed for their responsibilities.
  • Risk-based suppliers. External providers are selected and reviewed in proportion to product, service, quality, safety, ethical, environmental, data and continuity risks.
  • Learning and improvement. Complaints, errors, non-conformities, near misses and performance information are used to identify causes and appropriate corrective action.

3. Enquiries, Specifications and Acceptance

Before confirming an order or project, Atura will take reasonable steps to clarify material requirements and identify foreseeable constraints. These may include colour and material tolerances, sizing, print or decoration method, artwork quality, branding rules, product safety, personalisation data, delivery locations, installation conditions, sustainability evidence and customer approval stages.

Any known ambiguity, deviation, substitution or material change must be raised with the customer before it is authorised wherever practicable. Commitments should reflect information available at the time and must not override legal, safety or ethical requirements.

4. Artwork, Proofs and Change Control

  • Artwork and order data will be checked to a level appropriate to the service and agreed responsibility.
  • Where approval is required, production will proceed from the latest authorised proof, specification or data file.
  • Changes after approval must be recorded, assessed for cost, timing, quality and compliance impact, and reapproved where material.
  • Customer approval does not remove Atura’s responsibility to raise an obvious legal, safety, technical or ethical concern identified before production.

5. Purchasing and Supplier Control

Atura will communicate relevant specifications and expectations to external providers and retain proportionate evidence of quotations, approvals, certifications, product information and supplier performance. Higher-risk or specialist work may require samples, testing, compliance evidence, method statements, data-protection terms or additional checks before release.

Supplier performance may be reviewed using delivery, defect, complaint, responsiveness, legal and ethical compliance, evidence quality and corrective-action information. Persistent or serious failures may lead to improvement requirements, restricted use or termination of the relationship.

6. Service Checks and Release

Checks will be appropriate to the product or service and may include proof approval, quantity, identity, visible finish, packing, delivery information, portal configuration, permissions, data import or other agreed acceptance criteria. Inspection and sampling cannot eliminate every inherent manufacturing or material variation; material tolerances or limitations should be communicated where relevant.

7. Complaints, Non-Conformity and Corrective Action

A complaint, defect, missed requirement or service failure will be recorded and assessed promptly. Atura will seek relevant evidence, contain further impact where practicable, communicate with affected parties and agree an appropriate response. Depending on the circumstances, this may include correction, replacement, re-performance, supplier action, process change, training or another remedy consistent with the contract and law.

For significant or recurring issues, Atura will consider the underlying cause, assign corrective action, record responsibility and completion, and check whether the action was effective. Records will be kept at a level proportionate to the issue.

8. Objectives and Monitoring

The Directors will establish and review proportionate quality objectives. Measures may include on-time delivery, right-first-time performance, complaints, rework, supplier failures, portal incidents, corrective-action completion, customer feedback and training. A target will only be published when its scope, baseline, owner, timeframe and measurement method are defined.

9. Responsibilities and Review

The Directors are accountable for resources, priorities and review. Managers are responsible for applying controls within their areas, and everyone working for Atura must follow approved requirements, keep accurate records, protect customer information and raise a concern promptly. This policy and the effectiveness of supporting processes will be reviewed at least annually and after a significant failure or material change.

10. Raising a Concern

Quality concerns should be raised promptly with the relevant Atura contact or a Director. Customers may contact Atura Group Limited at sales@aturagroup.co.uk or 0161 399 5842. Concerns will be handled fairly and used to support appropriate improvement.
